Undeposited funds account is like an envelope where you can keep all your checks until you take them to the bank. It is a default account in QuickBooks accounting software that holds funds from payments to your company until you deposit them to your bank account. One cannot deposit funds directly to the Undeposited Funds, because it’s only a temporary account. You can deposit the funds in a single transaction after you take your deposits to your bank account. When can you record a payment?
Select Undeposited Funds for the Deposit to account instead of a Bank account
Once you have entered all your payments you are ready to deposit them in your bank. You have to use Bank Deposits which is found under the Plus (+) sign icon at the top of QuickBooks Online
Go to the Bank Deposits screen -> you can select which bank account you would like to deposit to
Select the appropriate Date
Select the location if the location tracking is turned on
Payments section will be displayed. The payments listed are the ones you recorded and marked to go to Undeposited Funds. Select the payments that are to be involved in this deposit for the day
Click on save
Enter Transactions with Undeposited Funds
Click -> Lists -> then Select Items
Select payment type from the Type menu -> then add any additional information for the transaction
Click the Account -> Select Undeposited Funds -> click OK.
How to Deposit Undeposited Funds?
Click on the Banking menu -> then Select Make Deposits.
Select the payments from Undeposited Funds that you want to deposit. If the Payments to Deposit window fails to open automatically, Click Payments on the Make Deposits window. Click OK.
Click the Deposit to -> then Select the bank account you want to use for the deposit.
Enter the right date in the Date field, and then enter additional payments to deposit that didn’t come from the Undeposited Funds account.
Click Print -> Select the option to print a deposit slip -> then click Print.
Click OK and save the transaction. Don’t forget to take the deposit slip to the bank and deposit the funds into your account.
